VMQG Call for Nominations – 2019-2020

The Guild is seeking volunteers for the following executive positions:

  • President
  • Vice President
  • Secretary
  • Treasurer
  • Membership Coordinator
  • Social Media Coordinator
  • Election Committee Coordinator

Serving on the executive is an excellent way to connect with fellow guild members, to help shape the activities of the guild and to enhance personal skills.  Descriptions for each position are listed below and there will be an opportunity to discuss further at the September guild meeting.  Elections will follow at the October meeting.  In the meantime, please email Linda Morrison (speakers@vancouvermodernquiltguild.ca ) with questions or to indicate your interest in serving on the 2019-2020 executive. 

Positions are open to all members in good standing.  The term is one year but members are encouraged to serve for two years to ensure continuity. 

The following VMQG executive members are standing for re-election:

  • Marnie Burnham
  • Dawn Flotten
  • Lisa Novich

Executive meetings are held monthly and are currently scheduled for 7 PM on the first Tuesday of the month but this schedule may be varied.  An annual planning meeting is held in the fall.

Each executive member is an active participant in guild decision making. Below are brief descriptions of the duties of each position.

President 

  • Manages the guild
  • Acts as the primary contact for guild members and the public
  • Prepares agendas and reports for each executive and guild meeting as well as the annual planning meeting
  • Conducts executive, general and planning meetings
  • Is responsible for making the executive and all members aware of the VMQG Policy & Procedures and promoting compliance
  • Has signing authority

Vice-President

  • Assists the President
  • Acts an executive liaison for the VMQG Showcase Committee
  • Has signing authority

Secretary

  • Keeps minutes of the annual general meeting, the annual planning meeting and executive meetings 
  • Prepares other minutes, correspondence and notices as required

Treasurer

  • Is responsible for the VMQG funds and maintains the financial records of the organization  
  • Keeps an accurate accounting of all money received and disbursed
  • Deposits all VMQG funds into the appropriate bank account on behalf of the organization, and pays any and all bills as required 
  • Ensures expenditures have the proper authorization and are backed by detailed receipts and invoices  
  • Ensures that the meeting location for general meetings is booked
  • Updates square store with new items and take payment during meetings

  • Creates Paypal items and buttons for website and email, keep track of payments 
  • Provides budgets and costing as requested for special events such as retreats 
  • Has signing authority

Education Committee Co-ordinator

  • Works with the Education Committee to develop programs, workshops, sew-ins and other educational opportunities for guild members

Social Media Co-ordinator

  • Updates and maintains all VMQG social media accounts
  • Posts updates on the website and blog re upcoming meetings and other events
  • Coordinates photographers for guild events and meetings

Membership Co-ordinator

  • Operates the membership table during guild meetings
  • Manages payments for membership
  • Keeps membership information up to date on Excel
  • Keeps membership information up to date with the MQG
  • Maintains current mailing lists on Mailchimp
  • Orders membership cards and business cards
  • Prepares and distributes membership welcome emails and membership cards
  • Replies to emails about general membership questions.
  • Prepares and processes renewal forms
  • Keeps current on BC Privacy laws
